The optimal season for corporate events in Dubai runs from October through to the end of April. During these months, temperatures are warm and pleasant — typically between 20°C and 30°C — and outdoor elements such as beach receptions, desert experiences and rooftop dinners can all be incorporated without compromise.
November, December, March and April are particularly popular months for international conferences, incentive programs and year-end gala dinners, and venue availability at the city's premier facilities should be secured well in advance during these periods. The months of January and February also offer excellent conditions and are often slightly less congested in terms of competing events. July and August bring extreme heat — regularly exceeding 45°C — and while fully air-conditioned venues remain operational, these months are generally less suited to events with any outdoor component or with international delegations travelling from cooler climates.
Depending on the nature, scale and location of your event, regulatory requirements in Dubai may include a venue operating permit, an entertainment permit issued through the Dubai Tourism and Commerce Marketing Department (DTCM), photography and filming permits, permits relating to temporary structures or outdoor elements, and in some circumstances, approvals relating to food and beverage service or alcohol licensing.

For large-scale international events — conferences, award galas and MICE programs above 300 delegates — we strongly recommend a planning horizon of nine to twelve months. This ensures access to the best available venues before they are committed to other events, preferred supplier availability across production, catering and entertainment, and sufficient time for considered creative development, delegate communications and the management of complex international logistics.
For smaller executive events — board dinners, leadership retreats and intimate corporate gatherings for fewer than 100 guests — a planning horizon of six to ten weeks is generally workable. We have the flexibility and supplier relationships to deliver high-quality events within condensed timeframes, though earlier engagement always translates to a greater range of options and a more relaxed planning process for all parties. Event investment varies considerably depending on the scale of the event, the standard of experience you wish to deliver, and the complexity of the production involved. As a general guide: intimate executive dinners and board-level gatherings typically begin at around AED 150,000; medium-scale conferences and award ceremonies for 100–300 guests generally range from AED 500,000 to AED 1.5 million; large-scale conferences, gala dinners and full-production events for 500+ delegates typically range from AED 2 million to AED 5 million; and multi-day MICE programs or flagship corporate events of national significance can represent investments of AED 5 million and above.
These are indicative ranges only — the actual investment required for your event depends on a detailed brief. We work transparently and collaboratively with every client to develop a budget structure that genuinely maximises impact at every level of investment. Budget transparency is a core principle of our client relationships. At the outset of every project, we develop a detailed, line-by-line budget covering all anticipated expenditure — broken down across venue, production, catering, talent, delegate logistics, management fee, contingency and applicable taxes. This budget is agreed with you before any supplier commitment is made.
Throughout the planning process, we provide regular budget tracking reports that clearly show actual spend against budget at every line. No expenditure above agreed thresholds is committed without explicit client approval. We do not accept undisclosed supplier commissions — our management fee is agreed with you in writing at the outset of the project and applies transparently across all aspects of the work. At the conclusion of every event we provide a full final reconciliation statement, and any underspend against agreed budget is returned to the client.
Absolutely. Working within a defined budget parameter is a fundamental part of how we operate with every client. If you have a fixed budget, we will design the event to maximise impact within that envelope — advising on where investment delivers the greatest audience impression, where creative alternatives can achieve comparable results at lower cost, and where we recommend protecting spend rather than making economies that would compromise the guest experience.
We will never accept a project brief that we do not believe can be delivered to a genuinely high standard within the stated budget. If we believe the budget and ambition are misaligned, we will tell you clearly and propose either a revised creative approach that works within your budget, or an informed case for additional investment that is grounded in what we know from experience is required to achieve the standard you are seeking.
We operate on a transparent management fee basis, not on undisclosed supplier commission. Our management fee is calculated based on the scope, complexity and duration of the project, and is agreed with you in writing before any work begins. This structure means that our interests are always aligned with yours — we have no financial incentive to direct you towards particular suppliers or to inflate supplier costs, because our income derives solely from the agreed management fee.
All supplier costs are passed through to you at cost, without markup, and are fully visible in the project budget documentation we provide. We may receive volume-based rebates from certain preferred supplier relationships, and where these exist we will disclose them to you and credit them against your project budget. This approach reflects our commitment to a client relationship built on complete financial transparency and mutual trust.
